Mileage Reimbursement Calculator

Reimbursement for your miles at the IRS standard rate — business, medical, or charity

Trip Details

Quick summary

Enter your miles and trip purpose to calculate reimbursement at the current IRS standard mileage rate, or override it with your employer's custom rate. At the business rate, 1,000 miles reimburses a few hundred dollars; medical/moving and charitable trips use lower rates (the charitable rate is fixed by law at 14¢/mile). The IRS updates the business and medical rates every December, so confirm the current figure at tax time.

Frequently asked questions

What is the IRS standard mileage rate?

It's a per-mile rate the IRS sets each year to reimburse or deduct the cost of using a personal vehicle for business, medical/moving, or charitable purposes. The business rate covers fuel, maintenance, insurance, and depreciation combined. Using it avoids tracking every actual expense. This calculator applies the current rate to your miles.

How do I calculate mileage reimbursement?

Multiply the miles driven for the purpose by the applicable rate. For business at the standard rate, 500 business miles × the business rate gives your reimbursement or deduction. Keep a mileage log with dates, destinations, and purpose to substantiate the claim if audited.

Are the business, medical, and charity rates the same?

No. The business rate is the highest and reflects full vehicle operating cost. The medical/moving rate is lower (variable costs only), and the charitable rate is fixed by statute at 14 cents per mile and rarely changes. Pick the purpose that matches your trip so the correct rate applies.

Can my employer reimburse at a different rate?

Yes. Employers can reimburse above or below the IRS rate, or use actual expenses. Reimbursement at or below the IRS business rate under an accountable plan is generally non-taxable; amounts above it may be taxable wages. Enter your employer's rate in the custom field to match your policy.
