Travel Cost Calculator

Estimate your total trip budget with per-person and per-day breakdowns

Travel Cost Calculator

Cost Inputs

Quick summary

Enter your trip length, number of travelers, and five costs, and the calculator totals the trip across flights, accommodation, food, activities, and ground transport, with per-person and per-day figures. With the defaults — 7 days, 2 travelers, $500 flights each, $150 a day for lodging, $60 food and $40 activities per person per day, and $30 a day for local transport — the trip comes to $3,660, or $1,830 per person. The default prices are placeholders: replace them with real quotes for your destination.

How to use this calculator

  1. Optionally type a Destination (optional label) so the cost breakdown is titled with your trip.
  2. Enter the Trip Duration (days) and the Number of Travelers.
  3. Under Cost Inputs, fill in Flight Cost per Person ($) and Daily Hotel / Accommodation ($) — the hotel figure is for the whole room or rental, not per person.
  4. Add Daily Food per Person ($), Daily Activities per Person ($), and Daily Ground Transport ($) for taxis, transit, or a rental car.
  5. Read the Grand Total, Per Person, and Per Day results, then use the Cost Breakdown to see which category to trim if the total is over budget.

Trip Cost Formula

Grand Total

Total=F×T+H×D+(f+a)×T×D+G×D\text{Total} = F \times T + H \times D + (f + a) \times T \times D + G \times D
F
Flight cost per person
T
Number of travelers
D
Trip duration in days
H
Daily hotel / accommodation cost for the whole group
f
Daily food cost per person
a
Daily activities cost per person
G
Daily ground transport cost for the whole group

Worked example

A 7-day trip for 2 people using the calculator's default prices

Given
F = $500
T = 2
D = 7
H = $150
f = $60
a = $40
G = $30
Calculation
500×2+150×7+(60+40)×2×7+30×7=1,000+1,050+1,400+210500 \times 2 + 150 \times 7 + (60 + 40) \times 2 \times 7 + 30 \times 7 = 1{,}000 + 1{,}050 + 1{,}400 + 210
Result
$3,660 total — $1,830 per person and $522.86 per day

Frequently asked questions

How much should I budget per day for travel?

There's no single right number — daily costs depend heavily on destination, season, and travel style. The most reliable approach is to look up real prices for your trip, such as a few lodging listings, typical meal prices, and the activities you plan, and enter them here. The Per Day result then shows your all-in daily cost, including your share of flights, which you can compare with what you can afford.

How does the calculator add up the total?

It treats each input according to how it's priced. Flights are multiplied by the number of travelers. Hotel and ground transport are daily costs for the whole group, so they're multiplied by the number of days. Food and activities are per person per day, so they're multiplied by travelers and days. The five category totals are added for the grand total, then divided by travelers and by days for the per-person and per-day figures.

Is the hotel cost per person or per room?

Per room or rental, for the whole group. The Daily Hotel / Accommodation field is multiplied by the number of days only, not by the number of travelers, so enter what you'll actually pay per night for everyone. If your group needs two rooms, enter the combined nightly price. Food and activities, by contrast, are entered per person.

Does the calculator count nights or days for lodging?

It multiplies the nightly hotel rate by the Trip Duration (days), so a 7-day trip is charged for 7 nights. Most trips have one fewer night than days, so the lodging line usually includes one extra night. You can treat that as a built-in buffer, or for an exact figure multiply your nightly rate by the number of nights and divide by the number of days before entering it.

What travel costs does this calculator leave out?

It covers five big categories but not one-time extras such as travel insurance, passports or visas, checked-bag fees, airport parking, pet or house sitting, tips, and souvenirs. You can fold these in by adding them to a related field — for example, spreading bag fees across the flight cost — or by adding a cushion to the grand total so surprises don't break your budget.

Should I book flights or hotels first?

Often flights first, because fares can change quickly and seats on popular dates are limited, while many hotels offer free cancellation so you can hold a room while you watch fares. Whichever you book first, enter the actual price here as soon as you have it so your budget reflects real numbers instead of estimates.

How do I split trip costs among travelers?

The Per Person result divides the grand total evenly among all travelers. That's fair when everyone shares rooms and does the same activities. If costs differ — say one person flies from another city or skips paid activities — use the category totals in the Cost Breakdown to settle up, or run the calculator separately for each person's share.
